How to Become an Exhibitor

Register to be an exhibitor at the 121st Annual Meeting.  For more information, please contact Anna Hubbard.

You will need to login to our website to register as an exhibitor.  If you have been an exhibitor in the past, you may already have a login and password - visit Sign-In Help.  New exhibitors should Create an Account before attempting to register.

​A booth at the ArkBar Annual Meeting is $750.  Booth Package includes:

  • 10' x 10' booth with 8' black drape, 3' high side drape
  • 6' skirted table OR one 40" high cocktail table
  • 2 Chairs
  • Exhibitor ID Sign
  • Free wifi access (DSL Available from Convention Center for a fee)
  • Breakfast, breaks, 2 lunch tickets per day and afternoon receptions
  • Company profile listed in the online exhibitor directory
  • Listing in Annual Meeting program (if contract received by print date)
  • Advance listing of attendees and complete listing of attendees following meeting (upon request)
  • Opportunity to purchase marketing postcards prior to meeting
Additional Fees:
  • Exhibitors are responsible for ordering and purchasing electricity from the Convention Center
  • Exhibitors can bring personal furniture items or order items from Sunbelt, Convention Center, or other furniture rental companies
  • Advance orders must be made for extra chairs, tables, carpet or decor
  • Exhibitors should contact Sunbelt for shipping, freight, and material handling
  • Exhibitors can bring food items to offer customers or purchase from the Convention Center catering service. 
  • Exhibitors can purchase additional lunch tickets for $35 when registering booth

Exhibitor Schedule

The exhibit hall will be open beginning Tuesday, June 11 from 12:00pm – 4:00pm for exhibitor move-in. The exhibit hall will close at 4:00pm. If you are not able to complete your move-in by this time you can return at 7:30am on Wednesday, June 12.

Exhibitor Move-Out begins at 1:00pm on Friday, June 14.


New This Year—All lunches are plated lunches at the tables. Exhibitors are encouraged to join and network with attendees during lunch at the dining tables.

Steps to Register:
  • Click Here for Online Exhibitor Registration  (You must login before registering)
  • Select your booth choice from the Exhibit Hall diagram.  Only available booths will be visible during registration. 
  • The secure online payment must be made with a credit card to reserve your booth
  • Two lunch tickets per day are included with the full price booth package (Please make sure that everyone working the booth is aware of the lunch tickets)

Cancellation Policy

Exhibitor must present a signed letter of cancellation to the Arkansas Bar Association. Cancellations received on or before March 1, 2019 will be charged a $50 administrative fee.  Cancellations received before May 1, 2019 will be charged a fee equal to 50% of the total cost of the booth/package. Cancellations received on or after May 1, 2019 will be charged a fee equal to 100% of the total cost of the booth/package. The Arkansas Bar Association reserves the right to resell any booth space cancelled by Exhibitor.

General Info

It is expressly understood and agreed that the Arkansas Bar Association, its members and its employees assume no responsibility for the safety of property of the exhibitors from theft, damage by fire, accident or other causes. The exhibit space is locked at the close of each exhibit day. However, it is advisable that exhibitors remove all personal belongings from their space when they are gone or at the end of each day. Exhibitors wishing to insure their goods must do so at their own expense.

No activity of exhibitor representatives or functions of a display should in any manner interfere or disturb neighboring exhibitors. It shall be the responsibility of exhibiting firm representatives to report or call to the attention of the manager any questionable activity or disturbing influence which should be corrected or eliminated.

All exhibits must be contained within the contracted exhibit space. No items (furniture, etc.) may be placed in the aisles. All displays must be free-standing and self-supporting. No hazardous materials may be stored or placed in display in the booth. Absolutely no company identification may be placed outside your specific booth area (i.e., on posts, pillars, walls, tables, ceilings, etc.)

Outside food and beverage (excluding candy and snacks) is prohibited by the Hot Springs Convention Center.  Any food or beverage must be ordered directly from Turf Catering.  If you are unsure if your snack will be allowed, please contact Anna Hubbard for approval.
